JOB SUMMARY:

The Residential Property Management Assistant is primarily responsible for interacting with future and current residents to achieve maximum occupancy. This position is responsible for the entire leasing process from introduction to occupancy and then maintaining a relationship with the residents by performing the duties outlined below. This role requires onsite presence and will entail involvement in the annual move-in/move-out season.  

 

JOB DUTIES:

Core duties and responsibilities include the following. Other duties may be assigned.

  1. Set up appointments and/or tours; meet with prospects to show residential properties in accordance with the company’s procedures and fair housing requirements.
  2. Conduct inspections of residential properties.
  3. Work with future and prospective residents in our office, by phone, and email to assess their needs and preferences and communicate the best match of available apartments. 
  4. Monitor leasing email and general voicemail and respond to all messages within 24 hours of being received. Ensure follow up is made to all relevant prospects.
  5. Process all applications, including running credit and background checks, conducting landlord references and income verifications, creating appropriate paperwork, collecting move-in costs, and completing applicable data entry in Rent Café and Yardi.
  6. Generate vendor contracts for property management team.
  7. Create and distribute parking passes.
  8. Keep Yardi up-to-date with new rental rates and security deposit amounts.
  9. Track and process sublets and lease re-assignments.
  10. Resolve resident issues and provide support with Rent Café, leasing questions, and other resident concerns. Diffuse situations as needed. Notify Assistant Portfolio Manager of escalated resident issues so Assistant Portfolio Manager may address.
  11. Maintain and monitor all “in-progress” lease files.
  12. Utilize, optimize, and update marketing tools, including but not limited to, Oxford website, Rent Café, flyers, and Matterport camera.
  13. Conduct annual lease audit, ensuring that leasing information is correct and updated in Yardi.
  14. Manage and maintain vendor certificates of insurance.
  15. Provide additional support to residential property management team as needed.

 

JOB REQUIREMENTS:

  1. 2 years of customer service experience.
  2. Demonstrate strong oral and written communication skills; ability to correspond in a professional, courteous, businesslike manner and speak effectively before groups of customers.
  3. Ability to read and interpret documents such as rules & regulations, lease paperwork, operating instructions, and procedure manuals; Ability to write routine reports and correspondence.
  4. Ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions, and initiate appropriate course of action.
  5. Demonstrate the ability to support and contribute to a team environment.
  6. Valid driver’s license and automobile insurance coverage; ability to provide own transportation.
  7. Perform all job duties with a positive attitude.

 

PHYSICAL REQUIREMENTS & WORKING CONDITIONS:

Employee will be regularly required to sit, use hands to handle or feel, and talk or hear. Employee will be frequently required to ascend/descend multiple flights of stairs, reach with hands or arms, and occasionally navigate uneven terrain by foot. Employee is occasionally required to sit or stand; walk and stoop, kneel, crouch, or crawl. Employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and depth perception. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Normal working office conditions in an open cubicle setting. Noise level in this work environment is usually moderate.
