Contracts & Royalties Assistant

Candlewick Press, a leading publisher of books for children located in Somerville, MA seeks a Contracts and Royalties Assistant to join our talented team. This role will be responsible for a variety of administrative tasks to support the Contracts and Royalties team.
 
Responsibilities will include but not be limited to the following:
 
  • Draft flat fee contracts for jacket illustrations, translations, consultant/sensitivity reads, teachers guides
  • Send advance and subsidiary rights payments to authors, illustrators, and agents
  • With the VP, Contracts, Rights & Royalties, review and reconcile the semi-annual royalties, including reconciling sales data, reviewing statements, and mailings
  • Research and grant free of charge permissions in response to requests from Candlewick’s Marketing department and the general public
  • When needed, contact authors, illustrators, and agents for missing tax forms, uncashed royalty checks etc.
  • Research and gather materials for semi-annual in-house audit in coordination with VP, CR&R and Finance
  • Send complimentary copies of proprietary editions to authors, illustrators, and agents
  • Become familiar with CP author/illustrator head contracts and the company’s database system, Biblio
  • Research contractual rights on an as-needed basis
  • Prepare monthly New Authors/Illustrators report
  • File departmental documents
 
Required Skills and Experience:
The ideal candidate will have a friendly, professional, and poised demeanor and will possess the ability to: perform efficiently under pressure; work both independently and as part of a team to complete assignments; and work in a fast-paced environment comfortably. 
Strong attention to detail, outstanding verbal and written communication skills, the ability to multi-task and prioritize, excellent concentration, an aptitude and appreciation for systems and processes, and proficiency with Microsoft Office are necessary. Prior experience with databases is strongly preferred. Candidate must be a quick learner and be resourceful, extremely organized, proactive, and a strong team player. An interest in children’s trade publishing and contracts and rights specifically is strongly preferred.
