Role Overview

Lassiter seeks a highly professional Project & Administrative Coordinator to support the CEO and project teams. This role is central to operational excellence, client experience, and the quality of our work product. The coordinator ensures that priorities move forward smoothly, materials are polished, and engagements reflect Lassiter’s white-glove service standards.

The ideal candidate brings 5+ years of experience, strong judgment, polished communication, and the ability to manage complex logistics in a fast-paced, client-facing environment.

Core Responsibilities

Executive & Administrative Operations

  • Manage the CEO’s calendar with precision, clear prioritization, and proactive coordination.
  • Coordinate internal and external meetings end-to-end (agendas, materials, logistics, follow-ups).
  • Serve as a client-facing point of contact for scheduling and logistics with professionalism and discretion.
  • Own administrative workflows and follow-through across engagements and business development activities.

Project Coordination & Traffic Management

  • Coordinate proposals, timelines, and deliverables across concurrent client engagements.
  • Track action items and maintain concise project documentation and status updates.
  • Support kickoff and recurring meetings with agendas, notes, and follow-ups.
  • Anticipate dependencies and upcoming needs to keep workstreams moving.

Client Communications & Brand Representation

  • Draft and format client-facing materials (agendas, briefs, pre-reads, decks).
  • Prepare first drafts of correspondence for senior review.
  • Ensure all communications reflect Lassiter’s premium tone, clarity, and service standards.
  • Manage timely distribution of materials to internal and external stakeholders.

Work Product & Document Quality

  • Format, edit, and quality-check reports, memoranda, and presentations.
  • Convert content between formats (e.g., written briefs to decks).
  • Maintain version control and organized document storage across projects.

Platforms & Systems

  • Provide administrative support across Microsoft 365, Box, Teamwork.com, HubSpot, SurveyMonkey, and the Lassiter website.
  • Support data entry, tracking, and reporting for client work and Lassiter’s business development.
  • Maintain organized digital files and assist team members with platform usage.

Research & Data Support

  • Gather, organize, and summarize information from public and internal sources.
  • Support survey setup, distribution, follow-up, and synthesis of results.

In-Person Meeting & Training Logistics

  • Coordinate venues, A/V, materials, and travel for meetings, workshops, and trainings.
  • Manage printing and assembly of client materials with attention to detail.

Required Qualifications

  • Minimum 5 years of experience in administrative, project coordination, or professional services support.
  • Associate’s or Bachelor’s degree (business or related field preferred).
  • Experience in consulting, corporate, or large institutional environments.
  • Exceptional written and verbal communication skills.
  • Tech-savvy with advanced Microsoft 365 proficiency and the desire and ability to quickly adopt new tools and systems with minimal support.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Client-facing experience with a commitment to professionalism and service excellence.

Preferred Qualifications

  • Advanced and creative editing skills that strengthen clarity, structure, and tone.
  • Research experience supporting consulting or advisory engagements.
  • Ability to apply AI tools to improve administrative and research efficiency, and support other relevant office functions.
