Administrative Assistant

Position Overview

The Administrative & Project Assistant will play a key role in supporting the daily operations of our corporate office and assisting in the coordination of key projects. The ideal candidate is detail-oriented, proactive, and bilingual in English and French, with excellent communication and organizational skills.

Key Responsibilities

1. Administrative Support

Perform general office duties including filing, data entry, and managing office supplies.

Handle phone calls, emails, and correspondence, ensuring timely and professional communication.

Organize and schedule appointments, meetings, and company events.

2. File Processing

Assist in the preparation, review, and processing of company files and client records.

Maintain well-organized and accessible filing systems (digital and physical).

Support process improvements to enhance efficiency and document accuracy.

3. Document Preparation & Organization

Draft, edit, and format internal and external documents.

Ensure proper version control, storage, and retrieval of company files.

4. Meeting Coordination

Schedule and coordinate internal and external meetings.

Prepare meeting agendas, supporting materials, and minutes.

Track and follow up on action items from meetings.

5. Communication

Communicate effectively with team members, partners, and clients across various regions.

Draft, proofread, and translate (as needed) emails, letters, and reports.

6. Record Keeping & Reporting

Maintain accurate and updated records across departments.

Assist in the preparation of reports, presentations, and administrative summaries.

7. Marketing & Communication

Support the creation and coordination of marketing and communication materials.

Collaborate with team members on digital campaigns and corporate branding initiatives.

Monitor and report on marketing campaign performance and engagement.

8. Project Assistance

Assist in project coordination, including scheduling, task tracking, and documentation.

Compile project updates, progress reports, and follow-ups.

Ensure alignment between administrative and project management activities.

Qualifications

Bachelor’s degree in Business Administration, Communications, or a related field (preferred).

1–3 years of experience in administrative or project support roles.

Strong communication skills in English; French proficiency is a strong plus.

Excellent organizational, multitasking, and time-management abilities.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.

Ability to work independently and collaboratively in a fast-paced, multicultural environment.
